Cold email templates for agencies

Agency outbound competes with every other agency emailing the same list. These templates work by being specific about the prospect's situation rather than about your capabilities.

The campaign-observation opener

You can see something concrete about how the prospect currently runs the channel you work in.

Subject

[Company]'s [channel] setup

Body

Hi [First name], Noticed [Company] is running [specific, observable thing] on [channel]. That usually points to [reasonable inference about their priority]. We work with [client type] on exactly that part, normally when [specific constraint] starts to bite. Is that a live priority this quarter, or are you set?

Why it works

It proves you looked at their actual work before writing. The inference is stated as a likelihood, not a diagnosis, which keeps it honest and easy to correct.

The scoped pilot ask

The prospect is interested but a full retainer is too big a first commitment.

Subject

A smaller version of this

Body

Hi [First name], You mentioned [constraint] when we last spoke. A full engagement is probably the wrong first step. We can scope a [short duration] pilot on [one narrow deliverable] instead. You keep the output either way, and it either earns the bigger conversation or it does not. Want me to put the shape of that in writing?

Why it works

It removes the size of the commitment as an objection by proposing a bounded first step, and it names what the prospect keeps regardless of outcome.

The dormant-lead reopener

A past conversation went quiet months ago and you have a genuine new reason to write.

Subject

Re: [original thread topic]

Body

Hi [First name], We spoke in [month] about [topic]. You said the timing was wrong because [reason they gave]. [Specific thing that changed since] made me think that reason may not apply anymore. If it still does, tell me and I will stop. If not, worth picking back up?

Why it works

It quotes the prospect's own stated reason and ties the reopen to something that actually changed, which is the only honest justification for reviving a dead thread.

Questions

Should agencies personalize every cold email?

Every email needs one specific, verifiable observation about the account. The rest of the structure can be reused. That is the difference between a template and a mail merge.

How many follow-ups should an agency send?

Enough that each one adds a new angle, and no more. If the next follow-up would only restate the last, the sequence is finished.

Can I claim results from other clients?

Only what you can support and are permitted to share. Name the shared attribute that makes the comparison fair, keep the outcome bounded, and avoid implying the prospect will get the same number.

These are patterns. The engine writes them from your own context, proof, and buyer logic.
